7 tips for business email communication

Avoid common mistakes by following these simple rules

Electronic Mail is a fast and easy way to communicate and it seems that quite often etiquette is undervalued when it comes to formal mail writing. The way you communicate with your business associates and clients underlines your corporate behaviour and tells a lot about yourself. It better be friendly and professional.

We wanted to remind you how important this is and give you some support on the way. In this article we collected 7 important rules you should consider when writing business emails.

1. Subject

Define a significant subject line. It increases the chance that your email is read and allows the recipient to determine the priority of your concern.

2. Keep it short

Don´t write novels! Nobody has time to spend ages on reading emails. Focus on one topic and list important facts.

3. Behaviour

Always consider country-specific manners. In general it is recommended to use a formal Mr. and Ms. to address the recipient, unless you know the person better. Then it might be okay to use the first name.

4. Grammar and Spelling

Incorrect grammar and spelling are non-professional. Use proper language, punctuation and capitalization. If you are not sure how to spell or write a sentence in the correct way, use a dictionary or a spell-checker.

5. Tone

Be careful to apply an appropriate tone and understandable terms. Avoid using sarcasm and irony, since words can easily be misunderstood without body language helping to get the hidden message across.

6. Professionality

Acronyms, Jargon and smiley faces don´t belong into a professional email!

7. Proofreading

Before you send out the email read it again and make sure it contains no grammar and spelling mistakes.

Keeping these simple rules in mind should help you to avoid at least the common pitfalls in business communication. While most of those rules appear pretty obvious you would be surprised how many people ignore or simply forget to apply them. This is unfortunate as the penalties for not doing so can be as severe as loosing a contract or customer you worked so hard to secure.

    Hello! we are people from spain, we want to edit a magazine, we have it finished. We would like to get one piece just to watch it, because we are not profesionals in this issues… but if we recive this piece and its OK, we will want 2.000 more. We would like to get them this month if is possible. We have it in a document .pdf. The front page and backpage are inside the .pdf document. We did an order in spetember/october (2015), the name of the magazine was „rojavanoestasola“, this is the new number, we tell you just in case…. maybe this information is usefull. we want the same format, but the problem is that our friend(he did the last order) is not with us now, and we dont know exactly how to do it.

    Is it necesary sign in us in print24? Can we order only one piece at first? is it Ok the .pdf format to send it?
    can you tell us if you see any print mistake?

    If you can help us, we will be very greatfull.
